Enable Email Forwarding Restriction(s)


    Overview

This feature allows the Account Owner or Administrator to control WHO has the ability to forward data out of the archive and to WHOM. By default, forwarding is enabled and allowed for every archive user role (Search Admin Plus, Search Admin, Search User, and End User) meaning that they all can forward archived data out of the archive to somebody within or outside of your organization. This feature allows you to gain more granular control over 'forwarding' and apply some restriction.

How do you enable the 'email forwarding restrictions'?

    1. The feature has to be initially turned on for your account by your archiving provider. Contact your archiving provider's support team to get this feature turned on.
    2. Once this is turned on, login as the Account Owner and go to the ACCOUNT tab.
    3. Select "Enable E-mail Forwarding Restriction" under 'Options'.

    4. Save your account settings by clicking "Update account" at the bottom of the page.
    5. A new tab under SETTINGS, called "E-mail Forwarding Restriction" will be displayed under SETTINGS.

How do you configure the email forwarding restrictions?

Once you are done enabling the feature, you can configure policies to limit WHO can forward data out of the archive to WHOM. From the "E-mail Forwarding Restriction" tab under the SETTINGS page, follow these steps:

    1. Read the quick overview to understand the default behavior without restriction turned on.

    2. Select "Enable restrictions on forwarding e-mails out of the archive" to disable forwarding for everybody in the archive.  This means that SAPlus, SAs, SUs, and EUs will NOT be able to forward any archived data out of the archive. 

    3. (Optional) Select one of the listed archive user roles to restrict the ability to forward data to those roles. Only the selected roles will be able to send data out of the archive from somebody within or outside of your organization.

    4. (Optional) Select the last checkbox to tie forwarding restrictions to a set of known registered domains. Selecting the checkbox means that the users for whom you allowed data forwarding will only be able to forward data to email addresses that have domains that have been registered and approved by the Account Owner, under the ACCOUNT tab as seen below.

    5. Once you're done configuring your forwarding restriction policy, click on "Save Settings" to save your configuration and activate the policy.
